How the Navy Federal conversion works

  1. 1. Drop your Navy Federal Credit Union PDF — digital or scanned, monthly statement or a combined multi-month export, up to 50 MB (or batch up to 25 files). Password-protected PDFs and image-only scans both work: scans go through vision OCR automatically.
  2. 2. Parse & reconcile — every transaction is extracted and the sum is checked against ending balance minus beginning balance within $0.01.
  3. 3. Download XLSX, CSV, or QBO — one click each, or batch up to 10 statements and download them as a single ZIP.

Navy Federal, the largest US credit union, uses a single Transaction Activity block that runs chronologically with the balance after every transaction — a running-balance ledger rather than deposit/withdrawal splits. The parser reads this as the canonical stream and validates every row's balance against the printed figure.

cashRewards, More Rewards, and GO Rewards credit-card statements use a separate cycle-based layout with merchant + category columns. These go through the LLM path; each cycle reconciles against the printed new-balance figure and the quarterly-bonus category is preserved in Description.

Share Certificate statements (EasyStart, Standard) ship quarterly or at maturity with simple principal-plus-dividend ledgers. These parse with the same pipeline — the interest row exports as its own transaction, ready for year-end tax work.

Where Navy Federal PDFs trip up manual conversion

Format-specific quirks that break naive PDF parsers — and how the reconciliation pipeline handles each one.

Share / checking dual block layout has two beginning balances

Navy Federal members typically hold both a Share Savings account (membership-required) and a Flagship Checking on the same statement. The PDF prints two parallel transaction blocks, each with its own beginning/ending balance pair. Manual reconciliation that sums everything against just one ending figure fails by the other account's net. The parser reconciles each block against its own balances and the export keeps Share and Checking on labelled sheets so cross-account transfer audits are explicit.

Membership-eligibility audits create no-impact rows

Navy Federal periodically prints membership-eligibility verification rows in the activity block — entries with $0 amount and a description like 'Membership review completed' or 'Service verification updated'. These don't affect any balance but they look like transactions. The parser recognises the membership-administrative pattern and excludes those rows from the reconciliation count while keeping them in the export under a 'membership events' tab for compliance review.

nRewards Secured card uses different layout than Flagship cards

Navy Federal's nRewards Secured credit card (often used by members rebuilding credit) prints with a simplified layout — no merchant categorisation, fewer columns, security-deposit references in the header. Parsers tuned to the cashRewards/More Rewards layout misread the columns. The parser detects the secured-card header signature and switches templates automatically, so a Flagship Visa and an nRewards Secured statement both reconcile cleanly without manual configuration.

Navy Federal conversion FAQ

Does Flagship Checking's running-balance layout parse cleanly?
Yes. The single Transaction Activity block gives row-by-row balance confirmation — we validate every transaction's balance against the statement, not just end-of-month totals, so a missed row shows up at the specific row rather than a silent $0.00 mismatch.
Will Navy Federal cashRewards card statements convert?
Yes. Cycle-based credit-card statements use the standard US layout; merchant + category are preserved in Description and reconciliation runs against the printed new-balance figure.
Can I export EasyStart Certificate quarterly statements?
Yes. Certificate statements are simple principal-plus-interest ledgers; each dividend posting appears as its own row in the exported XLSX for clean 1099-INT verification.
Does it work for batched Navy Federal statements?
Drop up to 10 PDFs in a single upload — Flagship, MMSA Savings, and cashRewards can be mixed in the same batch and you get separate XLSX/CSV/QBO files in the downloaded ZIP.
